What Is an Event Budget Planner?

An event budget planner adds up every cost of a school event — venue, decoration, food for all guests, prizes and miscellaneous costs — so organisers know the total budget and the cost per guest before the event.

How to Use It — Step by Step

  1. Choose the event type: Annual Day, Sports Day or Farewell.
  2. Enter the venue and decoration costs.
  3. Enter the food cost per person and the number of guests.
  4. Enter the prizes and miscellaneous costs.
  5. Press Calculate Budget. Your total budget and cost per guest appear instantly and are also checked on the server.

Worked Example

For an Annual Day with venue 20000, decoration 8000, food 150 per person for 200 guests (150 × 200 = 30000), prizes 5000 and miscellaneous 2000, the total budget is 20000 + 8000 + 30000 + 5000 + 2000 = 65000. Cost per guest = 65000 ÷ 200 = 325.

Food cost per person is multiplied by the number of guests, so 150 per person for 200 guests is 30000 in total.

What goes in “Miscellaneous”?

Anything that does not fit the other headings — for example printing, sound system hire, photography or transport.
